Responsibilities
- Manage front desk reception including greeting visitors, answering multi-line phone system, and routing inquiries
- Perform accurate data entry for client information, scheduling, and inventory systems
- Coordinate office calendars, meeting arrangements, and travel accommodations
- Maintain digital and physical filing systems with strict confidentiality protocols
- Process incoming/outgoing mail, shipments, and office supplies inventory
- Assist with basic administrative tasks including document preparation and report generation
- Collaborate with department heads to support operational needs
Qualifications
- Minimum 2 years receptionist experience with proven data entry proficiency
- Advanced typing speed (60+ WPM) with exceptional accuracy in alphanumeric data input
- Expertise in Microsoft Office Suite (Outlook, Excel, Word) and CRM software
- Strong verbal communication and professional phone etiquette skills
- High attention to detail with ability to multitask in high-pressure situations
- Associates degree in Business Administration or related field preferred
- Experience with scheduling software (e.g., Calendly, Doodle) required
