Responsibilities
- Front Desk Management: Greet and welcome visitors in a professional manner, directing them appropriately and managing the reception area to ensure a positive first impression.
- Communication: Answer and screen incoming calls with a polite and professional tone; take accurate messages and relay them to the correct department promptly.
- Scheduling: Manage calendars, schedule appointments, and coordinate meeting rooms for internal and external stakeholders.
- Administrative Support: Handle incoming and outgoing mail, manage office inventory, and assist with data entry and filing tasks as needed.
- Customer Service: Address inquiries from clients and employees with patience and efficiency, escalating complex issues to management when necessary.
- Office Maintenance: Monitor office supplies levels and coordinate with vendors for restocking to ensure smooth daily operations.
Qualifications
- Education: High school diploma or GED required; Associate's degree or certification in Business Administration is a plus.
- Experience: Proven experience as a receptionist or in a similar administrative support role preferred.
- Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment (printers, scanners, copiers).
- Communication: Excellent verbal and written communication skills with a strong command of the English language.
