Responsibilities
- Greet and welcome visitors to the office with a warm and professional demeanor, directing them to the appropriate personnel.
- Manage the main switchboard, answering incoming calls with a polite and helpful tone and routing them to the correct extensions.
- Handle incoming and outgoing mail and package deliveries efficiently.
- Assist with scheduling appointments, meetings, and managing executive calendars using Microsoft Outlook.
- Perform general administrative tasks including data entry, filing, and preparation of documents and reports.
- Maintain the cleanliness, organization, and professional appearance of the reception area and common spaces.
- Order and maintain office supplies inventory, placing reorders as needed.
Qualifications
- High school diploma or equivalent; Associate’s degree or certificate in Office Administration is preferred.
- Proven experience as a Receptionist or in a general office support role.
- Excellent verbal and written communication skills with a focus on customer service.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
- Strong interpersonal skills with the ability to interact professionally with all levels of staff and external clients.
- Ability to multitask, prioritize tasks, and work independently in a fast-paced environment.
- Relevant certifications (e.g., Microsoft Office Specialist) are a plus.
