Responsibilities
- Manage professional front desk operations including call screening, visitor greeting, and mail handling
- Coordinate complex executive calendars and meeting logistics across departments
- Process incoming/outgoing correspondence and maintain confidential records
- Assist with office supply inventory management and vendor coordination
- Support HR functions including onboarding paperwork and new employee orientation
- Implement office protocols for safety, security, and emergency procedures
- Collaborate with IT department for equipment maintenance and technical support
Qualifications
- Minimum 2 years of professional receptionist or administrative support experience
- Expertise in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Exceptional verbal/written communication and interpersonal skills
- Proven ability to multitask in high-pressure environments
- Proficiency with scheduling software (Calendly, Doodle, or similar)
- Discretion handling confidential information and sensitive situations
- Associates degree in Business Administration or related field preferred
- Bilingual (English/Spanish) certification highly desirable
