Responsibilities
- Front Desk Operations: Greet and welcome visitors and clients warmly, answer multi-line phones, and route calls promptly to the appropriate department.
- Data Entry: Accurately input, update, and maintain records in our CRM, spreadsheet databases, and filing systems with a focus on speed and zero errors.
- Mail and Distribution: Sort and distribute incoming mail and packages efficiently; manage outgoing mail and courier services.
- Customer Assistance: Respond to general inquiries via email and in-person with professionalism and courtesy.
- Office Administration: Assist with scheduling appointments, ordering office supplies, and maintaining a tidy reception area.
- Report Generation: Generate basic reports and summaries from entered data as requested by management.
Qualifications
- Experience: Minimum of 1-2 years of experience in a receptionist or administrative support role, with proven data entry skills.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and experience with database management software.
- Typing Speed: Certified typing speed of 50+ WPM with high accuracy.
- Communication: Excellent verbal and written communication skills; ability to interact with diverse audiences.
- Organization: Strong attention to detail and the ability to prioritize multiple tasks in a busy office environment.
- Professionalism: High school diploma or equivalent required; must maintain a professional appearance and demeanor.
