- Front Desk Management: Greet visitors professionally, manage the reception area, and answer incoming calls with a courteous and helpful attitude.
- Administrative Support: Handle general clerical duties, including data entry, filing, scanning, and document management to maintain accurate records.
- Communication: Draft, proofread, and distribute emails, memos, and internal correspondence.
- Scheduling: Manage calendars, schedule meetings, and coordinate travel arrangements for executives.
- Office Supplies: Monitor inventory levels and order necessary office supplies and equipment to ensure the workspace is fully equipped.
- Project Assistance: Support various departmental projects by preparing presentations, reports, and meeting materials.
Qualifications
- Education: High school diploma or GED required; Associate’s degree or certificate in Office Administration is a plus.
- Experience: Previous experience as an Administrative Assistant, Receptionist, or Office Clerk preferred.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Skills: Strong organizational skills with the ability to multitask and prioritize tasks effectively in a busy environment.
- Communication: Excellent verbal and written communication skills; bilingual (English/Spanish) is a strong plus.
- Reliability: Must be punctual, detail-oriented, and capable of working independently.
