Responsibilities
- Manage incoming communications including calls, emails, and mail with exceptional professionalism
- Coordinate calendars, schedule appointments, and arrange travel logistics for executives
- Prepare and distribute confidential documents, reports, and presentations
- Maintain organized filing systems (digital and physical) with meticulous attention to detail
- Order and maintain office supplies, equipment, and amenities
- Assist with onboarding new employees and coordinate office events
- Support accounts payable/receivable processes and expense reporting
Qualifications
- Associate's degree or equivalent administrative experience (2+ years)
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Exceptional organizational skills and ability to prioritize multiple tasks
- Strong written and verbal communication abilities
- Experience with office management software (e.g., Asana, Trello)
- Discretion handling confidential information and sensitive matters
- Proactive problem-solving approach with customer service mindset
- Valid Pennsylvania driver's license (occasional local errands required)
