Responsibilities
- Manage multi-line phone system with 50+ daily calls, screening and routing inquiries
- Greet and welcome 100+ daily visitors with executive-level professionalism
- Coordinate complex executive calendars and meeting logistics across 15 departments
- Process incoming/outgoing mail and manage shipping/receiving protocols
- Assist with onboarding tasks including badge creation and IT equipment setup
- Maintain reception area with five-star standard cleanliness and presentation
- Support administrative projects using Microsoft Office Suite and proprietary CRM
Qualifications
- Associate's degree or minimum 3 years corporate reception experience
- Advanced proficiency in Outlook, Word, and Excel with 60+ wpm typing
- Exceptional verbal/written communication and conflict resolution skills
- Experience with badge systems, scheduling software (Calendly), and visitor management
- Impeccable professional appearance and polished business demeanor
- Ability to multitask 8+ simultaneous tasks in high-pressure scenarios
- Knowledge of financial services industry protocols preferred
