Responsibilities
- Greet and welcome visitors with a warm, professional demeanor, managing the front desk and lobby area efficiently.
- Answer and direct incoming phone calls to the appropriate departments or individuals using a multi-line phone system.
- Perform basic data entry tasks, including updating client databases and maintaining accurate records.
- Sort and distribute incoming mail, packages, and faxes to team members promptly.
- Assist in scheduling appointments and managing the company calendar to ensure smooth operations.
- Handle customer inquiries via email or in-person, providing accurate information and escalating complex issues when necessary.
- Perform light clerical duties such as filing, photocopying, and preparing documents for meetings.
Qualifications
- High school diploma or GED is required; a degree in business administration is a plus but not mandatory.
- Previous receptionist or customer service experience is preferred but we offer training for the right candidates.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and basic computer navigation.
- Excellent verbal and written communication skills with a professional phone etiquette.
- Ability to multitask effectively in a fast-paced environment while maintaining attention to detail.
- Strong organizational skills and the ability to prioritize tasks based on urgency.
