Responsibilities
- Manage and coordinate executive calendars, including scheduling meetings, booking travel, and preparing itineraries.
- Act as the primary point of contact for clients and visitors, ensuring a professional and welcoming reception experience.
- Prepare and distribute correspondence, reports, memos, and presentations using Microsoft Office and Google Workspace.
- Assist with office administration tasks, including inventory management, supply ordering, and facility coordination.
- Process invoices, expense reports, and expense reimbursements accurately and on time.
- Maintain and organize digital and physical filing systems to ensure efficient information retrieval.
- Support special projects and ad-hoc administrative requests as needed.
Qualifications
- High school diploma or equivalent; Associate’s degree or Bachelor’s degree preferred.
- Minimum of 3 years of proven experience in an administrative support or office management role.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Excellent verbal and written communication skills with a professional demeanor.
- Strong organizational and time-management skills with the ability to prioritize tasks effectively.
- Ability to work independently and collaboratively in a high-pressure environment.
- Valid California driver’s license and reliable transportation.
