Responsibilities
- Manage multi-line phone system with 50+ daily calls, transferring to appropriate departments
- Greet and screen all visitors, including Fortune 500 executives and dignitaries
- Coordinate complex executive calendars and meeting logistics across 3 time zones
- Process incoming/outgoing mail and packages with meticulous tracking
- Maintain reception area immaculate and manage office supply inventory
- Assist with onboarding new hires including badge preparation and workspace setup
- Support HR initiatives with candidate coordination and interview scheduling
Qualifications
- Minimum 3 years corporate receptionist or executive assistant experience
- Expertise with Microsoft Office Suite and scheduling software (Outlook/Calendly)
- Exceptional written/verbal communication and active listening skills
- Professional demeanor with ability to remain calm under pressure
- Discretion handling confidential information and sensitive situations
- Ability to multitask 5+ concurrent priorities without compromising quality
- Valid CA driver's license and clean driving record for errands
- Fluency in English; Spanish proficiency strongly preferred
